Orders & print files
Work through design orders — download print files, track status and proofs, check customer confirmations, lock designs, and let customers fix their own artwork.
Every order with a personalized item appears under Orders in Customezo, where you download the print files, track proofs and status, and fix designs before production. Orders from your Shopify storefront and from the Portal appear in the same list.
The order list
Each row shows the order number, customer, status, source (Shopify or Portal), item count with how many are designs, tags and total. You can:
- Search by order number or customer.
- Filter by status: pending, processing, ready, completed, cancelled, approved, rejected, export failed.
- Filter by Proof: Awaiting customer, Needs action or Approved, with a count for each.
- Tag orders in bulk — tags sync back to Shopify.
- Spot locked orders and proof status by their badges: Proof: awaiting customer, Proof: needs action, Proof approved.
Order detail
Opening an order gives you everything needed to produce it.
Statuses
| Status | What it tracks |
|---|---|
| Design status | Where the artwork stands: pending, approved, in production, completed. |
| Production status | Your own production workflow. |
| Fulfillment / Payment | Mirrored from Shopify. |
| Source | Shopify or Portal. |
Changing a status is recorded and, where relevant, synced to Shopify.
Items
Each line item shows a preview of the design, the reference, how many design files it has, and badges for Design, Locked, In production and Export. From here you reach:
- Preview — the customer-facing preview image. If it is still being generated you will see Preview generating….
- Print File — the production file rendered at your print method’s DPI, format and color mode.
- Download Item ZIP — everything for that one item.
Customer confirmations
If you use add-to-cart confirmations, each design item lists the customer’s answers under Customer confirmations, with a status:
- Verified — the answers match what the customer gave when adding the item to the cart.
- Unverified — answers changed after add to cart or Unverified — cart line was modified — check the answers with the customer before production.
- Answers unavailable — design draft expired — confirm the requirements with the customer.
The answers are also printed on the Order Summary PDF and included in the production manifest.
Downloads
| Download | Contents |
|---|---|
| Order Summary PDF | A printable order summary — customer, shipping, items, quantities, SKUs and customer confirmations, with design and standard items separated. |
| Preview summary | The preview images for the order. |
| Order ZIP | Everything for the order in one archive: print files and previews. |
The Order ZIP is the usual starting point for production: download once, hand the folder to your printer.
Customer, tags and notes
The order holds the customer name, phone and shipping ZIP, plus tags. Tag changes sync to Shopify; if a sync fails you are told, and the change is still saved in Customezo.
Customer Notes is the Shopify order note. Edit it here and press Save note — the change appears in your Shopify admin, and edits made in Shopify show up here too. The note can be up to 5,000 characters. Orders that are not linked to a Shopify order keep the note in Customezo only. Older Internal Notes are still shown when an order has them.
Customer review
The Customer review panel shows what the customer received after ordering — a summary e-mail, an edit link or a proof — and lets you act on it:
- See the active communication mode, and (product override) if it comes from the product.
- Send summary e-mail if the summary has not gone out yet. Once sent, the panel shows Summary e-mail sent with the date.
- Send proof, Send reminder, Send revised proof, Mark approved, Cancel proof and Reopen for proofs.
- Add internal notes, or notes shared with the customer.
Everything is explained in Proof approval & customer e-mails.
Timeline
Created, updated and the linked Shopify order, so you can always trace back.
Locking designs
Once you start producing, you do not want the artwork changing underneath you.
- Lock order freezes every design in the order.
- Individual line items can be locked too.
- While locked, the customer’s Edit design link in the cart shows your locked label, and editing is refused.
- Unlock order reverses it.
- Locking an order with an open proof cancels the proof and disables every customer link. You are asked to confirm first.
Editing is also automatically disabled when a design is already in production, and an approved proof locks its items for production.
Letting the customer fix their design
When artwork is wrong — too low resolution, a typo, the wrong photo — you do not have to go back and forth by email.
- Open the order and choose Send edit link.
- Send it to the customer’s registered email, or enter a different recipient.
- The customer opens the link, edits their design in the same designer, and saves.
- The affected print files are re-rendered automatically (Design updated — regenerating).
The page lists recent links with their status and expiry, and you can Revoke a link at any time. Edit links cannot be sent while the order or line item is locked or the design is in production — the page tells you which condition is blocking it. While a proof is open for a design, the proof e-mail already carries the customer’s link, so you send a revised proof instead.
You can also have Customezo send an edit link automatically with every order — choose Summary + edit link as your communication mode.
Editing a design yourself
Edit design opens the design in the admin so you can fix it directly — useful for small corrections you would rather not ask the customer about. When a design is shared across several line items, you are asked whether to update all of them or copy the change to selected items only.
After any edit, the print files are regenerated.
Print file generation
Print files are rendered in the background after the order arrives. They follow the product’s print method: format (PNG and/or PDF), DPI, color mode, background, minimum output size and whether a trimmed copy is produced.
If a render fails, the order shows an export failed status. Re-trigger it by editing and saving the design, or contact support with the order number if it keeps failing.
Build your production routine around the ZIP
Download the Order ZIP, check the preview against the print file, and only then send it to your RIP. The preview is what the customer approved; the print file is what you produce. They should match.
